Medical Department Policies

Please be aware that whilst trialling with Colchester United Football Club you must follow the medical department policies and procedures, which can be found on the online tool. To note: all injuries must be reported to the medical department directly and clearance to play/train must be obtained from the medical department after injury. Any trial deferrals due to injury will be discussed directly between the medical department and the FA. During your trial period the club is not liable for any illness or injuries incurred. The medical team will support you within their means for the duration of your time with Colchester United Football Club.

How we use your information:

Your details will be saved and submitted to our Talent Identification Platform, Scout52, which is hosted by Base44 Inc. in the United States of America.

What data we collect:

Player personal details (name, date of birth, address/postcode, school details, club and position), parent/guardian contact information, playing history and club affiliations, emergency contact information, and health/safety screening information (YES/NO responses with optional details) provided for safeguarding purposes.

Why we collect this data:

We collect and process this information solely for the purpose of organising and managing talent identification events at Colchester United FC Academy, including: communicating with parents/guardians about event details, obtaining permission from current clubs, ensuring player safety through health/safety screening and emergency contact information, managing attendance and player records, and inviting players to future talent identification opportunities.

International data transfer:

Your data will be stored on servers located in the United States. Base44 Inc. processes data on our behalf under a Data Processing Agreement and implements appropriate technical and organisational security measures to protect your information, including UK/EU Standard Contractual Clauses for UK→US data transfers, encryption in transit and at rest, and strict access controls limited to authorised personnel. By submitting this form, you acknowledge and consent to your data being transferred to and stored in the USA under these safeguards.

Your data protection rights:

Under UK GDPR, you have the right to: access the personal data we hold about you, request correction of inaccurate data, request deletion of your data, withdraw consent at any time (where we rely on consent), object to processing of your data, restrict processing, and receive a copy of your data in a portable format. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

Data retention:

Health/Safety Screening Information: retained for up to 14 days after the event and then deleted. This minimises data exposure while allowing medical/safeguarding review for event safety.

Registration Information: retained for a maximum of 12 months from the date of submission, or until you request deletion, whichever is sooner.
